How Long Does It Take to Set Up AI Estimating?
Initial setup takes 3–5 business days. The onboarding session runs 60–90 minutes and covers your service categories, pricing rules, and estimate template. The AI is then configured, tested with sample jobs, and adjusted before going live. Most businesses are running live estimates within a week.
The setup process: first session covers your service list, per-unit rates, labour costs, markup structure, and any special conditions (minimum charges, travel fees, after-hours rates). This becomes the pricing rules the AI applies to every estimate. After the session, the configuration is built and you receive test estimates based on sample jobs you provide.
The test period (usually 2–3 days) is where you compare AI output to estimates you'd normally produce manually. Discrepancies point to pricing rules that need adjustment. After corrections, you run another batch of tests. When the test estimates look right, the system goes live.
What makes setup slower: businesses with complex or highly variable pricing (jobs where cost depends heavily on site-specific factors), or businesses with many service categories that all need individual pricing rules. If you have 30 distinct services with different pricing logic for each, setup takes closer to a week. If you have 5 core services, setup is faster.
